ENVIRONMENTAL PROTECTION DEPARTMENT
Executive Assistant [Salary: HK$29,575 per month]
Entry Requirements: Applicants should –
| (a) | have a bachelor’s degree from a university in Hong Kong, or equivalent; | |
| (b) | have met the language proficiency requirement of “Level 3” [Note] or above in Chinese Language and English Language in the Hong Kong Diploma of Secondary Education Examination (HKDSEE) or the Hong Kong Certificate of Education Examination (HKCEE), or equivalent; | |
| (c) | have at least three years of full-time post-qualification working experience in office administration, project management or financial management, preferably in the Government or public organisations; | |
| (d) | have good command of spoken and written English and Chinese; | |
| (e) | be proficient in computer applications (e.g. MS Word, Excel and PowerPoint); and | |
| (f) | have good interpersonal and communication skills, self-motivation and ability to work independently. |
Note: Grade C in Chinese Language and English Language (Syllabus B) in the HKCEE before 2007 is accepted administratively as comparable to “Level 3” in Chinese Language and English Language in the 2007 HKCEE and henceforth.
Duties:
| (a) | To provide general administration support, including but not limited to logistics support for meetings, events, site inspections, and departmental operations; preparing official correspondence; co-ordinating returns, maintaining filing systems and records; compiling statistics, managing office accommodation and handling public enquiries/ complaints; | |
| (b) | To assist in project planning and implementation by liaising with other Government bureaux/ departments, contractors, and relevant stakeholders; | |
| (c) | To undertake financial and human resources management functions, such as financial control and personnel management including coordinating training, duty rosters and overtime arrangement; | |
| (d) | To provide administration support in contract management such as checking contract terms compilation, arranging payments, and liaising with the contractor(s); | |
| (e) | To support departmental initiatives in occupational safety, health and green management, including coordinating inspections, handling incident reports, consolidating environmental statistics, assisting in certification renewals, and maintaining related documentation; and | |
| (f) | To perform any other duties as assigned by the supervisors. |
Other Job-related Requirements: The hours and venues of work may be varied having regard to the operational needs of the department. Successful candidate may be required to (i) work irregular hours and overtime, including evenings, weekends, Sundays and public holidays; and (ii) work outdoors.
Terms of Appointment: Successful candidate will be appointed on non-civil service contract terms for one year.
Fringe Benefits: 14 days paid annual leave will be granted to the successful candidate. The eligibility for rest days, statutory holidays (or substitute holidays), maternity/ paternity leave and sickness allowance, where appropriate, is in line with those provided for under the Employment Ordinance. A gratuity may be granted at the end of the contract period if the contract is satisfactorily completed with consistently high standard of performance and conduct. Such gratuity, if granted, plus any contribution made by the Government to a Mandatory Provident Fund (MPF) Scheme in respect of the appointee as required by the MPF Schemes Ordinance, will be equal to 10% of the total basic salary received during the contract period.
